This privacy policy explains how Dance Dynamix Dance School (“we,” “our,” or “the school”) collects, uses, and protects the personal information of our students, parents, and caregivers. We safeguard your privacy and actively maintain the security of every detail you share with us.

We collect personal information that is voluntarily provided by students, parents, or caregivers through our website, email communication, or web forms. This may include:

• Name and surname
• Date of birth
• Email address
• Contact number
• Address (where applicable)
• Relevant health information (e.g. allergies or injuries)

How we Use Personal Information

We use personal information only for purposes directly related to our services, including:
• Processing class registrations and enrolments
• Communicating about timetables, classes, and studio updates
• Responding to enquiries or requests for information
• Sending newsletters, updates, and relevant offers
• Managing event participation such as performances or workshops
• Monitoring website usage to help improve our service
We may also share students’ names and dates of birth with recognised dance associations — including AIDT, DASA, and Cathsseta — for legitimate purposes such as examinations, workshops, or performances.

Newsletters and studio updates: you can opt out of newsletters or studio update emails at any time by replying and letting us know — we’ll remove you from future emails within 5 working days, in line with the Unsolicited Electronic Messages Act 2007. This won’t affect your enrolment.

Data Security and Storage

We protect your information through digital and physical security measures. Our team collects only essential data, limits access to authorised staff, and reviews procedures regularly to ensure your privacy. We do not share information outside Dance Dynamix Dance School unless required for approved operational purposes.

Trusted third-party tools are used to help run the studio (for example, email, accounting, and class communication platforms), some of which may store information on servers outside New Zealand under their own security safeguards. We choose providers with appropriate privacy and security protections in place.

Access, Correction, and Deletion

You may contact us at any time to:
• Request access to your personal information
• Ask for corrections or updates
• Request deletion of your data once enrolment ends

If a Data Breach Occurs

In the unlikely event of a privacy breach that has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and any affected individuals as soon as practicable, in line with our obligations under the Privacy Act 2020.

Children’s Privacy

We handle all children’s information with the highest level of care. Details such as name, date of birth, address, and relevant health information are collected only to ensure safe and effective class participation. When required for exams, workshops, or performances, Dance Dynamix Dance School shares dancers’ names and dates of birth only with approved dance associations.

Data Retention

We retain personal information only for as long as a student is enrolled at Dance Dynamix Dance School. Once a student discontinues or completes their training, all personal data is securely deleted or destroyed.

Exception: financial records connected to an enrolment (such as invoices and payment records) are retained for 7 years as required under New Zealand tax law, even after a student’s enrolment ends. These records are kept securely and used only for financial and legal compliance purposes.

Your Right to Complain

If you’re unhappy with how we’ve handled your personal information or responded to a privacy request, you have the right to raise this with us directly, and you may also contact the Office of the Privacy Commissioner at any time.

We may update this Privacy Policy from time to time.
